1. Office administrative task (office size: 20 people):
- Manage transportation scheduling and arrangement
- Book hotels and accommodation
- Manage office assets, equipments in compliance with NMV's policies (quantity, quality, warranty status, maintenance)
- Manage and purchase stationery upon requested
- Make service as requested.
- Do payment documents related all purchasing activities and record
- Deal and evaluate suppliers periodically and require for improvement
- Manage overall 5S and safety at the office
- Manage office information board, meeting rooms, pantry facilities in order.
- Decorate office and organize events (monthly birthday, company contest, year end party, ETC.) and brainstorm for CSR & CP promotion activities.
- Control documents in-out, distribute and filing according to ISO standard if neccesary
- Call center care
- Other tasks if required.
2. IT Support
- Contact IT helpdesk and IT support and coordinate to solve IT problems.
- Control all IT equipments in the office
- Purchase IT materials as requested
- Other tasks related IT field
3. HR support
- Issue stationery, uniform and computer to employees as well as collect returns when resigning.
- Collect HR documents from new employees and send to HR team
- Collect attendance record weekly, monthly for HR team to calculate salary
4. Summarize and Reports
- List up and control master lists (assets, NMVS employee, supplier and contract...)
- Make needed reports relating the above tasks when required
- Summarize all related expenses and report when required
5. Support to update laws and regulations related above administrative field
6. Training tasks to new staff (if any)
7. Perform other tasks upon HR/Admin Manager’s request and above
- Note: Establish 6-month temporary contract. With performance evaluations results meet expectations, further extension of the contract will be considered.
- University graduation in economics/administration/English language;
- Good command of English;
- Having 6-month working experience;
- Female, ardworking, careful, funny, adaptable, reliable;
- Proficient computer skills (Word, Excel, Power Point, office 365)
- Working time: 08:30 - 17:30 (Monday to Friday)
08:00 - 12:00 (only 01 or 02 Saturday working/month)
