    SCOPE OF WORK

    The role of the coordinator and administrative assistant is to provide general coordination and administrative support to the director and Sales and Marketing team. Duties may include but are not limited to the key responsibilities and accountabilities as below.

    KEY RESPONSIBILITIES AND ACCOUNTABILITIES

    • Professional communication with clients, partners, and internal teams
    • Assisting the sales and marketing team with sales and Marketing internal and external procedures
    • Manage data handling and reporting Collaborating with other departments to ensure smooth operations
    • Provide comprehensive administrative assistance to the team, including internal and external meeting management, appointment scheduling, confirmation, and notification, preparation of relevant documents, and meeting organization.
    • Draft and disseminate memos, emails, team reports, and other correspondence as necessary.
    • Coordinate travel arrangements, accommodations, and itineraries for staff members as required.
    • Manage office supplies inventory by monitoring stock levels, placing orders, and replenishing supplies as needed.
    • Collaborate with the HR department on team-related tasks such as workforce management, onboarding support, and other team-related activities.
    • Administer SAP system responsibilities, including initiating purchase requisitions, coordinating with Procurement/Commercial, tracking approvals, and processing payment claims.
    • Facilitate booking of airline tickets and transportation upon the request of the line manager.
    • Assist in the management of office budgets, expenses, and invoices to ensure accuracy and compliance.
    • Foster cross-functional communication and project coordination by collaborating with various departments.
    • Serve as the point of contact for office coordination, maintaining knowledge of office personnel and procedures.
    • Receive, review, and manage documents from different departments, ensuring completeness and accuracy before submission for approval/ endorsement.
    • Manage incoming and outgoing documents, including checking files and affixing company stamps as appropriate to ensure compliance with company protocols.
    • Maintain filing and document control, both physical and digital, in a structured format to facilitate easy.
    • Performs other related duties as assigned by Line Manager/HOD.

    c. Familiarity with digital marketing platforms such as email marketing, social media, and basic design software is an advantage
    d. Good English communication skills, both written and spoken, to work effectively with international partners
    e. Prior experience in an international working environment is preferred
